QuickBooks may show an invoice as unpaid even when you know the customer sent the money.
That is worth checking. But the open invoice does not prove that the customer still owes you.
Why can a paid invoice still show as unpaid?
One common reason is that QuickBooks has the payment, but it is not linked to the right invoice.
QuickBooks calls this an unapplied payment.
A payment may also be linked to a different invoice. In some cases, a customer may have paid before the invoice was created.
There can be other reasons too.
The key point is simple: an open invoice and a received payment can both exist in your records at the same time.
So the invoice status alone may not tell you what really happened.
What should I check?
Start with the invoice that still shows as unpaid.
Check the customer, invoice date, amount and payment history.
Then look for:
- a payment from the same customer;
- a payment for the same or similar amount;
- a payment linked to another invoice;
- a credit that may affect the balance; and
- a payment or deposit that was recorded separately.
Do not assume two matching amounts belong together just because they look alike.
You may have several invoices or payments for the same amount.
The aim is to find out whether the open balance has a clear explanation.
What if I can see that the customer paid?
That is useful, but it may not answer the whole question.
For example, you may find the money in your bank records while the invoice still appears open in QuickBooks.
That could mean the payment was recorded in a different way or was not linked to that invoice.
You should also check whether the payment belongs to another invoice or customer.
If the records do not line up, the balance needs a closer look.
Why can this become hard to check?
One invoice can be easy to trace.
A full year of records can be harder.
There may be many invoices, payments, deposits, credits and changes. Customers may also make part payments or pay several invoices at once.
This makes simple matching less reliable.
For that reason, do not treat every open invoice as money still owed just because QuickBooks says it is unpaid.
Check the surrounding records first.
