A supplier bill can still look unpaid after money leaves your bank.
The payment may be in QuickBooks but not linked to the bill. It may also have been added as a new expense instead of matched to the bill.
Check the records before you pay the supplier again.
Why can a paid bill still look unpaid?
There are several common reasons.
The payment was not matched to the bill
A downloaded bank payment may need to be matched to the bill already in QuickBooks.
If it is added as a new expense, the bill may stay open.
The payment was recorded another way
Someone may have entered a check, expense, or card payment without linking it to the bill.
The payment record can exist while the bill still says unpaid.
The payment was linked to the wrong supplier or bill
A similar supplier name or amount can lead to the wrong link.
Only part of the bill was paid
A part payment leaves an open balance. The bill may still appear on unpaid-bill reports.
The report date or filter is different
A report may use a date before the payment or may hide part of the record.
What should I check?
Start with these checks:
- Open the supplier bill.
- Check its open balance.
- Review any linked payment.
- Check the supplier name.
- Check the payment date and amount.
- Compare the payment with your bank statement.
- Look for an expense or check for the same payment.
- Check the report date and filters.
Do not pay the bill again until you know why it is still open.
What if the bank statement shows the payment?
The bank statement can show that money left your account.
It does not prove that QuickBooks linked the payment to the right supplier bill. It also does not prove that every part of the open balance is wrong.
Check both the bank record and the bill record.
Should I delete the bill or payment?
Not until you know what happened.
Deleting the wrong record can affect your bank balance, supplier balance, and reports.
If you are unsure, ask your bookkeeper or accountant before changing it.
Why can this become hard to check?
One bill may be easy to trace.
A full year may contain many bills, part payments, credits, checks, and downloaded bank records. One payment may cover more than one bill.
The same amount and supplier name are useful clues. They are not proof of the correct link.
